Multi-Site Nurse Onboarding Software Case Study

The Client

A health system operating multiple hospital facilities across several states, each of which had, until recently, been running its own version of nurse onboarding and compliance tracking.

Introduction

Every facility in the system had built its own onboarding process over the years, its own orientation schedule, its own way of logging skills checks, its own spreadsheet for tracking who still needed a BLS recertification. None of it was wrong exactly, but none of it matched either, and system leadership had no reliable answer to a basic question: was a new hire at one facility getting the same onboarding as a new hire at another. During a system-wide review, two facilities turned out to still be using an outdated version of the same orientation checklist, months after a policy update had gone out.

Challenge

Statistic Description
17.6% National RN turnover rate in 2025, up from the prior year (NSI National Health Care Retention Report, 2026).
$60,090 Average cost to replace a single bedside RN (2026 NSI report).
22.3% Share of newly hired RNs who leave within their first year.
18–36 months The unpredictable window in which a Joint Commission survey can arrive, unannounced, at any hospital.

Two pressures compound each other here. Hospitals are onboarding new staff constantly because of turnover, and every one of those onboarding cycles has to hold up against a compliance survey that can show up without warning.

  • Onboarding paths varied by facility, so a new hire’s experience, and the paper trail behind it, depended on which hospital they happened to start at.
  • No system-wide view of who was current on required certifications, since each facility tracked competency sign-offs its own way.
  • Audit prep meant a scramble. With Joint Commission surveys arriving unannounced, pulling a system-wide compliance report meant contacting every facility separately and reconciling formats that didn’t match.
  • High turnover meant onboarding was constant, so any inefficiency in the process repeated at every facility, all year.

Solution

The health system built its core onboarding paths once, by role, inside SimpliTrain, and rolled them out to every facility instead of letting each one maintain its own version.

  • A single system-wide dashboard shows onboarding progress and certification status for every facility, without calling around for a status update.
  • Certification and competency sign-offs, including HIPAA, OSHA, and Joint Commission-relevant training, are logged automatically and timestamped as they happen.
  • Compliance reports export on demand, in a consistent format, whether the request comes from one facility or the whole system.
  • Rollout ran facility by facility over about six weeks. Agreeing on which version of each onboarding checklist was actually current took longer than configuring the software itself, since a few facilities had been quietly diverging from policy for months.

Result

Metric Before After
Onboarding process Different at every facility One standardized pathway, system-wide
System-wide compliance report Built manually, facility by facility Generated in a single pull
Audit prep time About a week Under a day
Certification status visibility Facility-by-facility spreadsheets One dashboard, real-time

Testimonial

“We used to build onboarding fresh at every hospital and hope the paperwork behind it matched. Now every facility runs the same pathway, and when a survey shows up, we’re not scrambling to figure out whose spreadsheet has the real numbers.”

– VP, Talent Development

Conclusion

This doesn’t solve nurse turnover on its own, but it does make sure that whatever brings a new hire in the door, the onboarding they get and the record behind it look the same at every facility. For a health system where a Joint Commission survey can arrive on any given morning, that consistency is worth more than the six weeks it took to build.
